DEPARTMENT: Chair and Co-Chair

General Description/Purpose

The Chair and Co-Chair work together to assure that all aspects of the Plant Sale are organized and carried out according to the Plant Sale Guidelines. They coordinate the logistics of the sale by securing the location, meeting rooms, wagons and other logistics. They serve as the primary liaison with CUH on plant sale related activities. They develop the meeting schedule, planning calendar, seek plant sale sponsorship and facilitate all plant sale meetings. The Chair and Co-Chair keep the Foundation Board updated on all aspects of the plant sale by periodic attendance at board meetings. They seek innovative and creative ways to increase plant sale profits each year.

Duties

Call and chair all plant sale meetings – Secure Chairs and Co-Chairs for all Departments – Secure location for the plant sale – Annually review and update the plant sale guidelines – Review and update Department roles and responsibilities – Submit plant sale updates for the MG Newsletter – Secure sponsors for the Plant Sale – Assure that Departments have the resources and support to accomplish their tasks – Organizing and plan the "Rehash" party – Gather feedback upon completion of the sale from plant sale volunteers – Be available on-site for setup, presale party and the two days of the sale.

Time Commitment/Timeline of Activities

June: Call first meeting of Plant Sale Executive Committee – Develop planning calendar – Develop list of Department Chairs and Co-Chairs – Secure use of wagons from NWHS – Secure CUH for next years plant sale – Submit Plant Sale update in MG Newsletter

August: Plant Sale Executive Committee Meeting – Finalize list of Department Chairs and Co-Chairs – Place update in MG Newsletter – Attend Board Meeting to give update

October: Plant Sale Executive Committee Meeting – Review and Update Plant Sale Guidelines – Review and Update Department Descriptions/Responsibilities – Place update in MG Newsletter

December: Plant Sale Executive Committee Meeting – Secure Sponsorship – Send out planning calendar - Send out a list of all department Chairs and Co-Chairs – Send out reminder of the January meeting

January: First meeting with all departments – Place list of all Department chairs in newsletter with contact information – Review Plant Sale Guidelines – Review Department descriptions/responsibilities – Review overall plan – Attend Board meeting and provide an update

February: Second meeting of all departments – Complete list of Plant and Garden Art Vendors - Attend Training to recruit new trainees

March: Third meeting with all Departments – Meet with CUH staff to discuss logistics of the sale – Update current years plant sale information

April: Fourth meeting with all department chairs – Review current years Plant Sale information – Conduct a final walk-through of CUH on the Saturday before the sale

May: Attend the Pre-Sale Party – Plant Sale – Plan and attend the "Rehash" party – collapse!
